Booking Terms and Conditions

  1. Booking and Payment
    • All bookings must be made via our online booking system.
    • Payment is required in full at the time of booking. Payments can be made securely through our website.
    • A booking confirmation will be sent via email upon successful payment.

 

  1. Cancellation and Refund Policy
    • Cancellations: Bookings can be cancelled up to 24 hours before the scheduled time for a full refund.
    • Late Cancellations: Cancellations made less than 24 hours in advance will not be eligible for a refund.
    • No-Shows: If you fail to show up for your booking without prior cancellation, the full booking fee will be forfeited.

 

  1. Rescheduling Policy
  • Bookings can be rescheduled up to 12 hours before the original booking time, subject to availability.
  • To reschedule, please contact us directly.

 

  1. Use of Facilities
  • The booked workspace (hot desk, private office, meeting room, or boardroom) is reserved only for the specified time. Extensions are subject to availability and must be paid for immediately.
  • Users are responsible for keeping the workspace clean and tidy during and after use.
  • Facilities, including Wi-Fi, printing, and meeting room equipment, are provided as-is. Technical issues must be reported immediately to CoolDesk staff.

 

  1. Internet Usage
  • High-speed Wi-Fi is provided for all users; however, it must be used responsibly.
  • Excessive downloading, streaming, or any activities that consume disproportionate bandwidth and impact other users’ connectivity are not permitted.
  • Internet use for illegal, harmful, or inappropriate purposes (such as accessing unauthorized content or engaging in cybercrimes) is strictly prohibited and may result in immediate suspension of access without refund.

 

  1. Code of Conduct
  • Respect the shared environment: Keep noise to a minimum and use designated spaces for calls or meetings.
  • No disruptive behaviour, misuse of equipment, or activities that disturb other users will be tolerated.
  • Users are liable for any damage to property or equipment caused during their booking period.

 

  1. Duration and Overtime
  • Workspace usage is limited to the time booked. If you require additional time, you must book and pay for the extension, subject to availability.
  • Overstaying your booking without prior approval may result in additional charges.

 

  1. Privacy and Security
  • CoolDesk is not responsible for the loss or theft of personal belongings. Please ensure your valuables are secure.

 

  1. Amenities and Services
  • Complimentary tea and coffee are provided for all bookings.
  • Printing and scanning services are available upon request and may incur an additional fee.
  • Meeting and boardroom equipment, including screens and whiteboards, are provided for your use during your booking.

 

  1. Access and Hours
  • CoolDesk operates during the following hours: Monday to Friday from 08:00 until 17:00. Access outside of these hours is not permitted unless arranged in advance.
  • Users must check in upon arrival and adhere to their booked time slots.

 

  1. Changes to Terms
  • CoolDesk reserves the right to modify these terms and conditions at any time. Updated terms will be posted on our website.
